Seed Data List - Tents

Here are some best practices for creating your Seed data list.

Use this opportunity to fix all the things you wish you had done differently when you created your inventory list in your existing rental software.

For example:

20x20 Pole Tent ----------> Eureka 20'x20' White Top (White Bag)

20x40 Evolution mid ----------> 40'x20' Eureka EVO MID

20x40 Evolution end ----------> 40'x20' Eureka EVO LACE END

One of the reasons you chose to implement RFID was to help your operations staff. It's ok for information here to be more technical or different than what your sales or front office staff will see in your reservation software. The thing they both will share in common is the item #.

Technically, that can be a little different too.

Let's explore that by way of example again.

Let's say that in your front end rental software you are looking to rent a 20x20 pole tent. Let's assume the item number is 1001 for a 20x20 pole tent. You may own multiple brands and qualities of this tent but for ease of use your rental software will see this as bulk item #1001. This is ideal for reserving your tent but your warehouse team has different plans. They have item #1001 with Anchor tops, Eureka tops and, yes, even a Top-Tec top you got at the last auction! These types of variances can be entered in the following ways to keep it simple for all staff.

In your seed data, you would enter the information in the following way.

1001A       Anchor 20x20 White Pole Tent Top

1001E      Eureka 20x20 White Pole Tent Top

1001T      Top-Tec 20x20 White Pole Tent Top

The above is only an example. You can enter and track this any way you would like just be aware when using reports or the locate feature that you will be using the item number to search so keep that simple and easy to understand if possible.
